1. Who we are
Ryxer ("Ryxer", "we", "us", "our") provides an AI voice receptionist service for veterinary clinics, including call answering, appointment booking, message capture and related notifications ("the Service"). This policy explains what personal information we collect through our website and the Service, why we collect it, and how it's handled. 2. Information we collect
We collect information in three broad categories:
- Clinic account information — business name, contact details, billing details, and configuration you give us when setting up the Service (call scripts, escalation rules, opening hours, integrations).
- Caller information — when Ryxer answers a call on behalf of a clinic, it may collect the caller's name, phone number, pet details, and the content of the call (as audio, transcript, or summary), so the clinic can follow up and provide care.
- Website usage information — standard technical data (IP address, browser type, pages visited) collected automatically when you browse ryxer.com.au, typically via cookies or similar technology.
3. How we use information
- To operate the Service — answering calls, booking appointments, sending confirmations and reminders, and passing call summaries to the relevant clinic.
- To maintain and improve call quality, including reviewing call recordings/transcripts for accuracy, training, and troubleshooting.
- To bill clinics for the Service and manage our contractual relationship with them.
- To communicate with clinics about their account, and to respond to enquiries submitted through our website.
- To meet legal, regulatory, and security obligations.
4. Who we share information with
We share information with the veterinary clinic a caller has contacted (that's the core purpose of the Service), and with service providers who help us run Ryxer — such as telephony, hosting, and AI infrastructure providers — under contractual confidentiality obligations. We do not sell personal information to third parties, and we do not share caller information with any clinic other than the one the caller contacted.
5. Data storage and security
Call recordings, transcripts, and related data are stored on secure cloud infrastructure with access restricted to authorised personnel and the relevant clinic. We retain call data for as long as is reasonably necessary for the purposes above, or as required by law, after which it is deleted or de-identified.
6. Your rights
Depending on your location, you may have the right to request access to, correction of, or deletion of your personal information, or to object to certain uses of it. If you're a pet owner who has spoken with Ryxer on behalf of a clinic, the clinic is generally the primary holder of your record — but you can also contact us directly at privacy@ryxer.com.au and we will assist or direct your request accordingly.

1. Agreement to these terms
These Terms of Service ("Terms") govern access to and use of the Ryxer website and the Ryxer AI voice receptionist service ("the Service"), operated by Ryxer ("we", "us", "our"). By visiting our website, signing up for, or using the Service, a clinic ("you", "your") agrees to these Terms. If you're agreeing on behalf of a business, you confirm you have authority to do so.
2. The Service
Ryxer provides an AI-powered voice receptionist configured to your clinic's protocols, to answer calls, triage and route enquiries, capture messages, and book appointments. Ryxer is a call-handling and administrative tool: it does not provide veterinary, medical, or clinical advice, and is not a substitute for professional veterinary judgment or emergency services.
3. Plans, fees & billing
- Current plans and pricing are set out on our Pricing page and may be updated from time to time; changes will not affect an active billing period already paid for.
- Monthly plans are billed in advance; a one-time setup fee applies at onboarding as described on the Pricing page.
- Calls or messages beyond your plan's included allowance are billed at the applicable per-unit rate shown on your plan.
- Fees are exclusive of GST unless stated otherwise, and are non-refundable except as required by law or expressly agreed by us.
4. Your responsibilities
- Providing accurate clinic information, escalation rules, and scripts so Ryxer can represent your clinic correctly.
- Ensuring you have the necessary rights and consents to have Ryxer answer calls, record them, and process caller information on your behalf.
- Reviewing call summaries and following up on captured messages and bookings in a timely manner — Ryxer supports your front desk, it does not replace clinical decision-making.
- Not using the Service for any unlawful purpose or in a way that could harm callers, Ryxer, or third parties.
5. Call recording & data
Calls handled by Ryxer may be recorded and transcribed to deliver and improve the Service, as described in our Privacy Policy. You're responsible for ensuring your use of the Service, including any caller notifications required in your jurisdiction, complies with applicable law.
6. Availability & changes to the Service
We aim to provide reliable, continuous call answering, but the Service may occasionally be unavailable for maintenance or due to factors outside our reasonable control (e.g. telephony provider outages). We may update, improve, or change features of the Service over time, including as part of the "ongoing improvements" included in your plan.
7. Termination
Either party may end the agreement in line with the notice terms confirmed at signup. We may suspend or terminate access if fees are significantly overdue, if these Terms are materially breached, or if use of the Service poses a risk to Ryxer, callers, or third parties.
8. Liability
To the maximum extent permitted by law, Ryxer's liability for any claim relating to the Service is limited to the fees paid for the Service in the three months preceding the claim. Nothing in these Terms excludes rights that cannot be excluded under Australian Consumer Law.
9. Changes to these terms
We may update these Terms from time to time; material changes will be reflected by an updated "Last updated" date above.
10. Governing law
These Terms are governed by the laws of Victoria, Australia.
